2024 Kauai Convention Terms and Conditions
Registration deadline for American Republic Insurance Services convention is March 1st.
All registrations must be completed by March 1st, no exceptions. Any qualifier not registered by March 1st will not be attending convention.
The 2024 Kauai, Hawaii Convention is sponsored by American Republic Insurance Services, LLC (“American Republic Insurance Services”). Each Convention qualifier (“Qualifier”) and their guest will be required to follow the established rules and guidelines set forth by American Republic Insurance Services.
1. These Terms and Conditions apply to the managers and representatives who meet the qualifications as outlined in the 2023 Kauai Qualifications.
a. For American Republic Insurance Services, the qualification period runs January 1, 2023 to December 31, 2023 with all policies issued and taken by December 31, 2023.
b. The Convention is scheduled for April 23–April 27, 2023. Participants may post-extend their stay; however, you are responsible to secure your extended hotel reservations, any additional costs (airfare) will be at the expense of the attendee. No pre-Convention extensions will be allowed at the Convention hotel.
2. Each writing representative stands on their own for Convention qualification purposes. Aggregating of policies is not permitted.
3. For American Republic Insurance Services, credit for split-commission policies will be awarded according to the premium split.
4. Qualifier must be contracted with American Republic Insurance Services prior to the end of the qualification period and at the time of the Convention. Qualifier must attend the Convention in order for their guest to attend.
5. Attendees are required to attend ALL American Republic Insurance Services sponsored functions and/or events. In the event you choose not attend one of these company sponsored events, you will not be eligible to attend 2025 convention. Tentative schedule below … any other company sponsored events announced on site will also require your attendance.

6. The value of this Convention will be reported as income to the Qualifier attending the trip, in accordance with the rules and regulations of the Internal Revenue Service. To the extent that the value of the Convention will be included in the Qualifier’s income, the Qualifier will be responsible for any taxes due and should consult an accountant or tax consultant. The estimated Convention value is $7,000 (based on two people). Actual 1099 reporting will be adjusted based on actual costs.
7. American Republic Insurance Services reserves the right, at its sole discretion, to determine eligibility for this Convention on a case-by-case basis.
8. No cash settlement or any other considerations are given in lieu of attending this Convention.
9. This Convention includes round-trip coach air transportation from designated gateway cities (which are determined by American Republic Insurance Services) to Convention destination on group program dates for two people, hotel accommodations at the Convention hotel (based on double occupancy), ground transfers on group travel dates, hosted group events that may include breakfasts, lunches, receptions, dinners, and group activities.
10. The independent activities, meals, entertainment, and travel of Qualifiers and their guests, which are outside of those sponsored by American Republic Insurance Services as part of or related to the Convention, shall be at the expense of Qualifiers and their guests.
11. All additional airline fees, including those for luggage, overweight luggage, additional luggage, or overweight passengers is at the expense of the Qualifier and their guest.
12. Accommodations are reserved for a Qualifier and their guest. Other American Republic Insurance Services employees/producers who have not qualified are prohibited to attend as a guest unless they are married or are in a domestic partnership with the Qualifier.
13. All air transportation will be ticketed through our designated travel company.
14. Any change in travel plans must be made through our designated travel company. Qualifier is responsible for any additional fees that may result from Qualifier making a change in travel arrangements after they are approved by the Qualifier. For airline reservations that are cancelled once they have been ticketed, the Qualifier is responsible to cover the cost of their ticket and the cost of their spouse/guest ticket as well, if applicable.
15. There will be an additional fee of $500 per person fee for cancellations or changes requested once air transportation has been ticketed.
16. Qualifier is responsible for any fees that result from cancellation or change, late check-ins plus any increased air transportation costs involved in reissuing the ticket.
17. Guests under 18 are not permitted to attend the Convention.
18. Payment for all optional tours is due at time of Qualifier’s reservation and is non-refundable.
19. American Republic Insurance Services reserves the right, at its sole discretion, to change dates, locations, and qualification guidelines of the Convention.
20. As guests of American Republic Insurance Services, all Qualifiers and their guests are expected to conduct themselves in an appropriate manner, and abide by all local and federal laws, as well as any applicable resort/hotel rules. American Republic Insurance Services reserves the right to remove any Qualifier and their guest from the program for inappropriate behavior, the determination of which shall be at the absolute discretion of American Republic Insurance Services. Said Qualifier and guest shall be responsible for any costs incurred for a change in travel plans.
21. By participating in this Convention, Qualifier and their guest agree to release and hold harmless American Republic Insurance Services, its affiliates, and its owners, as well as the employees, managers, officers, directors, and agents of American Republic Insurance Services and its affiliates and owners, from any and all liability for any injury, loss, or damage of any kind arising from or in connection with the Convention. Such a release from Qualifier and their guest shall include actual, special, incidental, consequential, or punitive damages connected in any way to the Convention.
22. The laws of the state of Iowa shall govern the Terms and Conditions related to the Convention, and Qualifiers and their guests participating in the Convention consent to the resolution of any disputes solely through the alternative dispute resolution process that may be outlined in Policies and Procedures between the Qualifier and American Republic Insurance Services.
